How do we treat the shops within the estate when we implement GateHouse

The goal of GateHouse is to account for every entry into the estate. Ideally, shops in a private residential estate are for the exclusive access of the residents of that estate alone. With GateHouse, shopkeepers within the estate now have the responsibility to ensure that they know their customer, and now have to book them in advance. Gatehouse allows you to book a visitor for only one time, or for multiple visits with one code. In case the customer comes for the first time, the shopkeeper needs to take his/her details for the future and leave a number the customer can call to request to be booked.

What about places of worship

The same rules for shops apply to places of worship. A team should be in charge of booking people into church. During the COVID-19 pandemic, people needed to call a number in church to confirm that they will be attending services so that the church will not go over the required number. So, intending visitors to church must call in advance so they can be booked. There is a facility in Gatehouse that allows you to book many people at once and each one will get a different code. 

Regular members will already have a long-term multiple booking code generated for them. Alternatively, a member of the greeting team can be at the gate and book visitors in when they indicate they are coming to church.

Thirdly, the estate can have a policy that allows people to go in if they say they are going to a place of worship but insists that they must come back with an ‘exit only’ pass from the facility they have visited.

There are base stations in our estate belonging to telecoms companies. How will they get in?

Telecom companies pay rent for the use of the spaces within the estate, so they are known to the association’s management. GateHouse will view each of these facilities as a unit of building and the estate will give access to a responsible officer from the company who will now define each person coming in as a visitor or as dependants.

What about ATMs?

ATMs will follow the same rule as the Telcos. The bank will have a resident status, and they can give access to staff and/or contractors to perform activities around and on the ATM.

For non-residents of the estate, it unfortunately no longer be possible to use that ATM since no one can book them in any longer. Ideally, installations within gated estates are for the exclusive use of the estate’s residents.

How will my staff (housemaid, gardener and driver) come into the estate

Your children, domestic staff and anyone who lives under your roof or comes into the estate to work for you are your responsibility. Once you have access to the solution, the first thing you do is to register them on the software. This will give each one of them a unique QR code that will be scanned at the Gate. This code can be saved on their phone, printed on paper or made into an ID card. This is what they will use to come into the estate. When you no longer need their services, all you need to do is to delete their registration, and the QR code no longer works

I have a party at my home, and I don’t know who may come or if they will bring other people in with them. How do I invite people when I don’t know if they will come with someone else?

If you know the people coming, you can use bulk booking to book them in a few easy steps. If you don’t know if they may come with people you can put an estimate in the field “Number in Party”. You can also leave a note in the booking note instructing the security officer to allow a group in as long as one of them has a booking code. It means that someone without a code cannot go out of the estate unless they are still with the person that has the code.
Thirdly, you can send a booking link to your guests and whoever else you think may want to come. They will fill in their details, and send it back to you, and you can approve to send them a QR code or reject it if you don’t want them to be there.
